Front Office Lead Administrative Position -01-03-2022

  • Scheduling surgeries, consultations and post op visits

The Administrator will collaborate with our 8 physicians to ensure high quality care for our patients and a rewarding, team-oriented culture for our staff. They will conduct performance reviews of staff, maintain smooth workflow, provide staff training, development of office policies and procedures, maintain office compliance with all state and federal mandates, labor laws, and Medicare Rural Health regulations. 

Preferred Qualifications include: 

At least three years medical group management with staff supervision
Superior communication skills
Ability to create a team-oriented environment and work effectively with all departments
Strong organizational skills with excellent follow through on assigned tasks
Initiative to problem solve solutions.
Strong proficiency with MS Office programs
Electronic Medical Record experience
Knowledge of the revenue cycle


Bachelor’s degree preferred but will consider work experience
Family Practice experience preferred

Duties and Responsibilities:

  • Responsible for overseeing operations of a high volume OB/GYN practice, consisting of 2 offices and 11 providers.
  • Supervise staff and oversee all clinic operations.
  • Resolves any employee disputes and medical-administrative problems.  Keeps lines of communication open with staff to ensure high employee morale and a professional, high-functioning clinic atmosphere.
  • Provides leadership in developing, planning and implementing the clinic's business plans.
  • Responsible for developing and implementing the practice’s marketing plan.
  • Recommends, develops, implements improvements for the practice.
  • Informs board of physicians about current trends, problems and medical activities to facilitate policy making and business decisions.
  • Establishes, secures approval and oversees clinic operating policies and procedures (done in conjunction with management team).
  • Oversees efforts for recruitment, development, performance evaluation of employees.
  • Oversees the business and financial affairs of the clinic and fiscal management.
  • Oversees and Manages Centralized Billing Office Operations.  Maintain and monitor reimbursements, account receivables, collections and customer service.  Manages third party payer relationships, including monitoring of related reimbursement, negotiation with third party payers, provider credentialing, and maintenance of contracts. Familiarity with coding and reimbursement issues.
  • Enhances operational effectiveness, emphasizing cost containment without jeopardizing important innovation or quality of care.
  • Maintains compliance with Medicare, HIPPA, OSHA, and Labor Laws.
  • Represents the clinic in its relationships with other health organizations, government agencies, and third party payers.

Skills/ Requirements

  • Bachelor's degree required in business or healthcare.
  • 5+ year’s experience in managing a medical practice – preferably OB/GYN – with exceptional leadership and organizational/business management skills.
  • Excellent communication, presentation, and interpersonal skills.
  • Proficient in billing operations.  3-5 years previous billing experience required. Demonstrated success in program implementation, operations, and fiscal management.
  • Strong HR and Supervisory Experience with 40+ employees.
  • Excellent knowledge of Information Technology and its application to the Health care environment. Electronic Medical Records experience preferred.
